Stats, history and the CCLI report
These pages answer three questions: what did we sing, how often, and what do we need to report to CCLI? You'll find them in Music → Songs, on the History and Stats tabs.
Where the data comes from
WorshipPro records a song use in three situations:
- you click Publish on a plan: every song in that plan counts once, on the plan's date,
- the desktop app shows a song on screen during a service: once per song, per plan, per day,
- you move services over from WorshipTools, together with their singing history.
Nothing else counts. Draft plans, Perform mode in the browser and the phone apps add no entries. A song added to a plan after publishing counts only if the desktop app shows it. That's why a new church starts with an empty history: publish your first plan and it fills in.
History
The History tab lists uses from newest to oldest, grouped by month, up to the latest 500 entries. Each row shows the title, author, key and date. Click a row to open the song.
The key shown is the song's default key, not necessarily the one you sang that day.
Anyone who can see service plans can open this tab.
Stats
The Stats tab sums up the whole history. There's no date filter.
- Songs — songs in your library.
- Plays — all recorded uses.
- Services — all plans, drafts and templates included.
- Plays by service type — how uses split between your service types. Uses with no plan or no type appear under No service type.
- Top 20 most sung — your most used songs. Click one to open it.
A song in a published plan that also went on screen from the desktop app adds two plays for one service. Treat the numbers as a picture of what you sing, not an exact count of services.
The same data feeds the Recently played and Most played sorting when you build a plan. Anyone who can see songs can open this tab, but the CCLI report section needs Songs: Edit.
Before your first CCLI report
- Go to Settings → General, Profile tab, CCLI licence section. Type your CCLI License # and click Save.
- On the Songs tab, turn on the No CCLI # filter. It shows songs that have no number and aren't public domain, which the report can't count.
- Open a song and click Edit. Fill in CCLI number, or set Copyright status to Public domain if that's the case. Public domain songs stay out of the report.
WorshipPro sends nothing to CCLI. CCLI accepts reports only in its own portal, so you download a file and enter the numbers there.
Reporting a quarter
The CCLI report section is at the bottom of the Stats tab, and also under your licence in Profile.
- In Quarter, choose the period. You can pick the current quarter and the 7 before it. It opens on the previous one, in your church's time zone.
- Check the three boxes: To report, No CCLI Song # and Public domain (not reported).
- If Songs without a CCLI Song # — to fill in appears, fix those songs. Download list (CSV) gives you the list. They're left out of the report until they have a number.
- Click CCLI report (CSV). The file has the columns CCLI uses, plus plan uses and times projected.
- Enter the numbers in CCLI's portal.
- Click Mark as submitted. This takes Songs: Manage (Owner, Administrator). A Leader can view and download, but not mark. Undo reverses it.
Reading the numbers
- Plans — how many plans dated in that quarter contain the song, drafts included.
- Digital — recorded uses in the quarter. If the church has no recorded uses at all in that quarter, it's the number of plans instead.
- Print and Stream — always 0 in the file. WorshipPro doesn't log printing or streaming, so add those yourself in the portal if they happened.
Check Digital before you enter it. The rule from the Stats tab applies here too: a song from a published plan that also went on screen from the desktop app counts twice, even though the note on the page mentions only projections. Compare it with Plans and enter what really happened.
Reminders
With a licence number entered, people with Songs: Manage get a reminder at the start of each quarter about the previous one, and a second one after 14 days. It comes as a push notification, or by email if they don't have the app. There's no reminder when the quarter had nothing to report, or once someone clicked Mark as submitted.
To turn them off for yourself, click the bell at the top of the menu and find CCLI report.
Without a licence number you can still view the report and download the file. Only the reminders are off.
